Front-desk opening checklist for an aesthetic clinic
GlowPilot Team•Updated September 14th, 2026•2 min read
A good opening is boring. You already know who is coming, which cabin is free, and who still needs a confirmation. When that lives in five WhatsApp chats, the first no-show of the day is a surprise.
Before the door opens
Twelve minutes is enough if the book, the file, and the device calendars are the same system. It is not enough if reception is reconstructing the day from screenshots.
- Open today’s calendar for this location. Scan professional columns and the laser or cabin that is the bottleneck.
- Confirm visits that are still “scheduled” if your rule is to confirm the day before. Do not confirm twice.
- Check packs: anyone in today whose remaining sessions are zero needs a plan before they arrive.
- Check photo protocol treatments: camera or upload path ready, consent already on the file if you capture it at intake.
- Note late invoices you will mention at checkout, not in the treatment room.
Handover at lunch and close
Midday: mark completed visits so packs and reports stay honest. Flag no-shows. Do not leave a finished Hydrafacial as scheduled until Friday.
Close: tomorrow’s first hour should already be confirmed or on a call list. Empty laser slots for tomorrow morning are a packing decision tonight, not a shock at 9:05.
Make the list the product of the system
The checklist fails when it is a printed sheet that drifts from the software. GlowPilot is built so today’s book, remaining sessions, and rooms sit in one place. Request a demo if you want that opening routine walked on your treatments, not on a generic spa.
