“Text me if the laser opens” lives in Instagram and on the front desk’s phone. Thirty messages. The 6 p.m. slot is gone while you decide who to write. A list that does not notify is not demand. It is a poll.
The cancellation offers the slot. First accept books it
The list stores the patient, treatment, location, and a date window. A practitioner, if they asked for one. When the front desk cancels a future visit that was already confirmed, or marks a no-show, GlowPilot offers that time to people who match. A visit that never reached confirmed, including an unpaid checkout that expired, does not. The clinic can turn offers off. By default they go to five people and the link stays open for 15 minutes. The time is held until the first accept, expiry, or until everyone declines. Accepting turns the hold into the appointment. Reports count offers still open, accepted, and expired, and add the appointment price of accepted visits. That total is schedule value, not money collected. No automatic charge. WhatsApp uses the utility template waitlist_offer, which Meta must approve. Email does not need it.
- The front desk adds someone from the calendar, or the patient joins on the public booking page when that day has no openings. The public window is the two weeks after the date they picked.
- On cancel or no-show, if the time is still in the future, the offer goes out: email when they have an address, WhatsApp when the add-on is on and a waitlist-offer workflow exists, SMS when you connect the channel and turn that message on.
- First accept books the visit. The front desk can also drag a waitlist row onto a free slot on the calendar.
